Privacy Policy

PODPilot is operated by Scorepeo Sports LLC, an Illinois limited liability company ("PODPilot," "we," "us," or "our"). This Privacy Policy explains what information we collect, why we collect it, how we use and share it, and the choices available to you.
This policy applies to mypodpilot.com and to the PODPilot application and services (together, the "Service"). It does not apply to any third-party website or service we link to.
By using the Service, you agree to this Privacy Policy. If you do not agree, do not use the Service.
1. Who this policy covers
The Service is a business tool sold to motor carriers and owner-operators. It is not directed to consumers and is not directed to children.
This policy describes our handling of two different categories of people:
Customers. The carrier, company, or individual that holds a PODPilot account, and the users authorized under that account.
Third parties whose information appears in Customer documents. Drivers, brokers, shippers, consignees, and other individuals whose names, signatures, phone numbers, or other details appear in the load documents a Customer submits to the Service.
For information in the second category, the Customer is the controller of that information and PODPilot acts as a processor on the Customer's behalf and instruction. Section 8 explains what that means for both of us.
2. Information we collect
2.1 Information you give us
Account information. Name, email address, password, company name, and the details you enter about your company, drivers, and factoring arrangements.
Load and document data. The documents and information you or your drivers submit to the Service, including proofs of delivery, bills of lading, rate confirmations, lumper and other receipts, invoices, load numbers, pickup and delivery locations and dates, broker and shipper names, consignee names, load amounts, and any other content contained in those documents.
Driver contact information. Phone numbers and names for the drivers you authorize to submit documents.
Factoring and billing configuration. Your factoring company's submission email address, your remit-to details, your invoice template and numbering, and your submission schedule.
Communications. Messages you send us by email or through the Service, including support requests.
2.2 Information collected automatically
Usage data. Pages viewed, features used, actions taken in the Service, timestamps, and referring pages.
Device and connection data. IP address, browser type and version, operating system, device type, and language preference.
Analytics. We use a privacy-focused, cookieless analytics service to understand aggregate usage of our marketing site and application. It does not track individuals across other websites.
2.3 Payment information
We do not collect or store full payment card numbers. Payments are processed by Stripe, Inc., which collects your card details directly and provides us with limited information such as the last four digits, card brand, expiration date, billing country, and transaction status. Stripe's handling of your payment information is governed by Stripe's own privacy policy.
3. How we use information
We use information to:
- Provide, operate, and maintain the Service, including reading, classifying, and extracting data from submitted documents, generating invoices, assembling factoring packets, and transmitting those packets to the recipient you designate
- Create and manage your account and authenticate users
- Communicate with you about your account, including service notices, security alerts, billing notices, and support responses
- Process payments and manage subscriptions
- Monitor, troubleshoot, secure, and improve the Service, including diagnosing errors and preventing abuse
- Comply with legal obligations and enforce our Terms of Service
We do not sell your information. We do not share your information with advertisers. We do not use your load documents or business data to train artificial intelligence models, and we do not permit our vendors to do so.
4. Automated processing and artificial intelligence
The Service uses automated document classification and data extraction to identify what a submitted document is and to read information from it. This processing is performed by a third-party AI service provider under a commercial agreement that prohibits the use of submitted content to train that provider's models.
Automated processing produces confidence-scored results. Documents the Service cannot classify or match with sufficient confidence are routed to a review queue for a human at your company to resolve rather than being transmitted automatically. You remain responsible for reviewing the accuracy of packets before or after submission, as described in our Terms of Service.
We do not use automated processing to make decisions producing legal or similarly significant effects about any individual.
5. How we share information
We share information only as described here.
5.1 At your direction
The core function of the Service is transmitting completed factoring packets, by email, to the factoring company or broker you designate. Those recipients receive the documents and data contained in the packet. Once transmitted, the recipient's handling of that information is governed by your relationship with them and by their own policies, not by this policy.
5.2 Service providers (subprocessors)
We use the following categories of vendors to operate the Service. Each is bound by contract to process information only on our instructions and to maintain appropriate safeguards:

We will update this list when it changes. Continued use of the Service after an update constitutes acceptance of the updated list.
5.3 Legal and safety
We may disclose information if we believe in good faith that disclosure is required by law, regulation, legal process, or governmental request, or is necessary to protect the rights, property, or safety of PODPilot, our Customers, or the public. Where we are legally permitted to do so, we will make reasonable efforts to notify you before disclosing information in response to a legal request.
5.4 Business transfers
If PODPilot is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
6. Data retention
We retain account information for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce agreements.
We retain load documents, invoices, packets, and the associated audit trail for as long as your account is active, because those records are the evidence of what was submitted and when. This matters for you in a payment dispute with a factor or broker.
On written request to privacy@mypodpilot.com, we will delete your account data. Some information may persist in backups for a limited period before being overwritten in the ordinary course, and we may retain records we are legally required to keep. We will not use retained information for any purpose other than those obligations.
Following a deletion request or account closure, we delete Customer Data within ninety (90) days. We recommend exporting anything you need before requesting deletion.
7. Security
We use commercially reasonable administrative, technical, and physical safeguards designed to protect information, including:
- Encryption in transit using TLS
- Encryption at rest for stored documents and database records
- Access controls limiting internal access to those who require it
- Tenant isolation so that one Customer's data is not accessible to another
- Audit logging of packet assembly, approval, and transmission events
No method of transmission or storage is completely secure. We cannot guarantee absolute security, and you submit information at your own risk.
If we become aware of a breach of security affecting your information, we will notify you without undue delay and as required by applicable law.
8. Your responsibilities as a Customer
Because your documents contain information about other people, the following are your obligations, not ours:
- You represent that you have the necessary rights, permissions, and legal basis to submit to the Service any document or information containing personal information about drivers, brokers, shippers, consignees, or any other individual.
- You are responsible for informing your drivers that documents they send by WhatsApp are transmitted to and processed by PODPilot on your behalf.
- You are responsible for the accuracy of the factoring or broker email addresses you configure. The Service transmits packets to the address you provide.
- You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account.
If you receive a request from an individual whose information appears in your documents, we will provide reasonable assistance in responding to it. Direct such requests to privacy@mypodpilot.com.
9. Your choices and rights
Access and correction. You can view and correct most of your account information within the Service.
Deletion. You may request deletion of your account and data as described in Section 6.
Export. You may request a copy of your data in a machine-readable format.
Marketing communications. You may opt out of non-essential emails at any time using the unsubscribe link. You cannot opt out of service, security, or billing notices while you hold an account.
State privacy rights. Depending on where you live, you may have rights to know what information we hold about you, to request its deletion or correction, to obtain a portable copy, and to be free from discrimination for exercising those rights. We do not sell personal information or share it for cross-context behavioral advertising. To exercise any right, contact privacy@mypodpilot.com. We will verify your request before acting on it and respond within the timeframe required by applicable law.
10. Cookies and similar technologies
We use strictly necessary cookies to keep you signed in and to maintain your session and preferences. Our analytics is cookieless and does not use identifiers to track you across websites. We do not use advertising cookies or third-party tracking pixels.
If our marketing site embeds a video from a third-party platform, that platform may set cookies once you choose to play the video. We do not load the player or any of its resources until you click play.
11. International users
The Service is operated from the United States and is intended for customers operating in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.
12. Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the "Last updated" date and notify you by email or through the Service before the changes take effect. Continued use of the Service after the effective date constitutes acceptance.
